MemoFlows ("we," "our," or "us") operates the MemoFlows Chrome extension and associated web application. This Privacy Policy explains how we collect, use, and disclose information when you use our products.
1. What Information We Collect
Information You Provide
- Account information: When you sign up, we collect your email address. If you sign in with Google, we also receive your name and profile picture from your Google account. We do not collect phone numbers.
- Saved memories: When you save a ChatGPT response, we store the message content, chat URL, message ID, model identifier, and surrounding conversation context (up to 3 messages) that you explicitly choose to save.
- Prompts and folders: Custom prompt presets, global prompts, and folder names you create to organize your memories.
Extension Content Access
The MemoFlows extension interacts with ChatGPT pages solely to enable memory-saving functionality. Content is accessed only when:
- A user explicitly saves a Memory
- A user inserts a saved Memory into chat
We do not collect or store full chat histories automatically.
Local vs. Server Storage
Some data is stored locally in your browser using Chrome storage (e.g., theme preferences, authentication state). Other data (such as saved Memories linked to your account) is stored securely on Google Cloud servers (Firebase/Firestore).
Information Collected Automatically
- Extension storage: The extension uses Chrome storage to keep your authentication state, theme preferences (colors, fonts), and local UI state. This data stays on your device unless you sync it to our cloud storage (e.g., when saving memories).
- Server and request logs: We may collect standard technical data such as IP addresses, request timestamps, and error logs when you interact with our web app and backend services (Firebase, Cloud Functions).
2. How We Use Your Information
- Provide our services: To save, organize, search, and display your memories; to apply your prompt presets and global prompts; and to apply your theme customizations on ChatGPT.
- Account management: To create and maintain your account, authenticate you, and recognize you across sessions.
- Improve the product: We may use saved content to generate short summaries (e.g., 5–10 word descriptions) for search and organization. This is done using automated systems. When automated summaries are generated, only the specific Memory content required for summarization is processed. No full chat histories are transmitted.
- Operational purposes: To fix errors, prevent abuse, and maintain security.
Data Use Limitations
We do not sell, rent, or use your data for advertising, profiling, or marketing purposes. Data is used exclusively to provide and operate the memory-saving features of the product.
3. What Information We Share
- Service providers: We use Firebase (authentication, database, hosting) and may use third-party AI services to generate memory summaries. These providers process data on our behalf under contract.
- Legal requirements: We may disclose information if required by law, court order, or government request, or to protect our rights and safety.
- No sale or advertising: We do not sell, rent, or use your data for advertising, profiling, or marketing purposes.
4. Data Retention
We retain your data as long as your account is active. You can delete individual memories, folders, and prompts at any time. Uninstalling the extension removes locally stored data. Server-stored data can be deleted at any time by deleting your account. Deleting your account will remove your personal data from our systems, though backup copies may persist for a limited period for operational recovery.
5. Your Rights and Choices
- Access and update: You can view and edit your profile, memories, and settings in the web app and extension.
- Delete: You can delete memories, folders, and your account through the Settings page.
- Export: You can export your memories as CSV from the Library.
6. Security
We use industry-standard measures (e.g., Firebase security rules, HTTPS, authentication) to protect your data. No system is completely secure; we encourage you to use a strong password and keep your account credentials private.
7. Children
Our services are not intended for users under 13. We do not knowingly collect personal information from children under 13.
8. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date. Continued use of our services after changes constitutes acceptance of the updated policy.
